1. A hotel booking form has to be filled in and sent directly to Academservice:
   either by FAX+7(095)913-3113, +7(095)755-8858
   or by e-mail as an attachment (ps- or word-file) to elenadem@acase.ru (Elena Demidova, a manager in Academservice Co.).
2. then you should receive by FAX from Academservice a personal hotel voucher ("Accommodation voucher N...").

   NOTE: Academservice will forward a personal hotel voucher to the delegate only after receipt of the deposit. If Academservice does not receive the deposit the hotel reservation will not be made.

3. The visa support has to be sent by Academservice together with a hotel voucher. This should be a document written in Russian mainly.
   PLEASE CHECK:
   • your name(s),
   • date of your birthday and your passport number
   must be written in this paper. Let us know if any mistypes appear.

4. With two these papers from Academservice (hotel voucher and visa support) and some other required papers you go to Russian Consulate to apply for the visa.

• "number of registration" in Russian Ministry of Foreign Affairs (it is 26605 printed in the bottom of the visa support, the words before the number are in Russian)
• "number of reference" in Russian Ministry of Foreign Affairs (it is 2454, under that 26605)

The visa you need to visit Moscow for the conference is a tourist one.

(You also could get from Academservice a paper called "DESCRIPTION" with the the total balance and words at the end "this is to prove the receipt of your booking. The confirmation number will be supplied after the payment is made". This paper is just to inform you.)

FAQ

• What I should put down for the cost at the end of the form for Academservice Co?

  You should not calculate the "Total amount USD", you only choose the hotel, mark for the selection and write the arrival and departure dates. Then they calculate everything, fill in the invoice and send that ("DESCRIPTION") to you. The "Total amount" will include 5% sale tax.

• In the hotel form you are asking for a credit card number. This means that you are going to charge the card with some amount or is just for guarantee? And if someone will not come finally, is there any charge?

  The credit card number is necessary for the hotel booking.
  As for charge for the Russian entry-exit visa,

  • if you really come to Moscow and stay at the hotel reserved, they do not take any additional money for the ordering visa support for you;
  • if Academservice orders (and sends you) the Russian visa support, and you do not come, then Academservice deducts some charge (equal to the price of one hotel night)

• What about the approximate time of the arrival of the hotel voucher and the visa support from Academservice?

  These two papers should come at the same time.
  Academservice will forward a personal hotel voucher to the delegate only after receipt of the deposit. If Academservice does not receive the deposit, the hotel reservation will not be made.

• When starting up the visa application procedure inside CERN, I was told that I should wait with submitting the application until I had got a confirmation that some relevant papers had been sent from Academservice to the Russian Consulate in Geneva. Do you know whether Academservice has sent these papers and - if so - when they will arrive at the Consulate?

  Having those "numbers" Academservice has not to send any more papers to Russian consulates, it is enough for you to have the visa support and the hotel voucher FAXed from the Company.

• First, I would understand when you will send something which confirms that my abstract was accepted, and what you will send. In other words, I wait for a document which invites me to the conference.

  Talks will be selected by the Program Committee on the basis of more than 160 titles/abstracts submitted before May 16, 2002. The outcome of the selection (including form of presentation - oral or poster) will be communicated to participants via email and our Web page by June, 1. In urgent cases, please contact the Organizing Committee.

• I read somewhere and somewhen in the last weeks, that it would be possible to get US-$ at automated tellers in Moscow. Unfortunately I can't remember whether this offer is only available at a special bank or any other detail. This information sounds a bit strange to me and I haven't been able to confirm it by asking at my local bank and my travel office. Have you ever heard about this possibility and/or could you confirm it? And what about US-$ traveller cheques? Could they be used like cash or is it only possible to change them at a bank or exchange office into Rouble?

  No, it is not possible to get US-$ at automated tellers in Moscow. But you can take US-$ from bank (they take 1.5% fee for that). Travel check is not convenient since not every bank makes the exchange. What I would propose - you take $250 cash with you for the conference fee, pay with your credit card where it is possible (a lot of places: shops, restaurants, hotel) and take Russian roubles from the bankomat when it will be necessary.

• Then I've one question concerning the transfer from/to the airport. On your webpages a shuttle bus to/from Sheremetyevo Airport is mentioned. But I've now booked a flight which will arrive on Moscow Domodedovo Airport Will you also offer a transfer to/from this airport or will I have to organize it by myself?)

  We shall organize that.

• For payment of room charges and registration fees, are EUROS alright, or must it be in dollars US?

  Yes, EUROS in cash are alright.
