Minutes of the April 22, 1999 "Tool of the Future" proposal team
meeting:

Attending: Nick Bernstein, Rob Douglas, Andy Gerb, Jeremy Jones,
Anuradha Koratkar, Karla Peterson

First we reviewed the status of the outstanding action items:

1-c. Jeremy will compile Past, present and Future ideas for the
Scientist's Expert Assistant (SEA) project carried out at Goddard.

This has been done and posted to the TOF web page.

1-d. Rob Douglas will mine the OPR system looking for possibilities
for longer term improvements.

This has been done. He didn't find much that was relevant
- only requests for reports in multiple formats.

1-h. Anuradha will look for an additional team member who has
experience preparing HST science proposals.

This has been done. Mauro Giavalisco will be joining us.

2-a. We should all read the documentation that has been posted to the
web site. Then we should come up with our own list of qualities that
we want to see in the future. Try to organize them in some fashion
(e.g. chronologically, or functionally). Next time we will try to
collate all our ideas together.

Andy and Karla came up with text lists that summarize
ideas found in the reading material. Nick made a presentation of
his vision in a diagram. The rest have agreed to do theirs
as interpretive dance. :)

2-b. Anuradha will start planning a brain storming session with
scientists.

Progress has been made here. She has several STScI scientists
lined up.


Then we spent the meeting discussing what we should tell the
scientists about our project to get the most useful feedback from the
brain storming session. We decided on a Socratic method of presenting
them with several basic questions about what users are looking for,
instead of bombarding them with our long lists of collected ideas. We
will then listen to their ideas big and small and later attempt to
extract the big picture changes that their ideas suggest.


Finally we assigned new action items:

3-a. We will send our schedules for the next two weeks to Anuradha.

3-b. Anuradha will find a time for the scientist brain storming session.

3-c. Anuradha will develop a short handout and presentation for the
brain storming session to help the scientist understand what we
are doing and what type of input we are seeking.
