Тема: Call for Expressions of Interest to organise Symposia and Special Sessions at EWASS 2016

Dear EAS Members,

While more than 1100 participants are currently at the European Week of Astronomy
and Space Science (EWASS 2015) in Tenerife, we are preparing the next EWASS
to be held in Athens, Greece during the week of 4-8 July 2016.

The meeting will be organised at the premises of the Eugenides Foundation
by the European Astronomical Society (EAS), in collaboration with the Hellenic
Astronomical Society (Hel.A.S.).

We herewith invite proposals from colleagues who are interested in organising a
Symposium or a Special Session.

A broad range of parallel sessions can be accommodated as:

(A) Symposia
which normally consist of up to 6 blocks of 1.5 hours, stretching over 2 days, although exceptionally and in well-justified cases these symposia can be slightly longer,

( Special Sessions
consisting of up to 3 blocks of 1.5 hours on the same day.

Proposers should strive to make their proposals of interest to large fractions
of the European astronomical community. All proposals should be submitted as
plain text email, with of the order of 500 words, and should include the
following information:
1. Title and type of proposed session 2. Summary of the goal(s) of the session 3. Names of organisers (at least two persons) 4. Justification for proposed duration of the session (how many 1.5-hour blocks?) 5. Anticipated audience size 6. Possible review talks and possible speakers 7. Whether or not you plan to accept posters

Proposers should also indicate that and how they will adhere to the EAS policy
regarding diversity and non discrimination, as accepted by EAS Council on
25 June 2015 (to be soon available on the EAS website and appended below).

Organisers of EWASS sessions are benefitting from the logistical support of the
EWASS conference including the venue, registration handling, the portal for
abstract submission and reviewing, and the hosting of a web page on the
EWASS website. Organisers should not count on additional support from
EWASS for attending the conference, neither for themselves nor for
their invited speakers.

Proposals should be sent to the SOC Co-Chairs:

for review by the SOC.

Applicants will be notified in October about the outcome of the selection.
Individuals within the European Astronomy and Space Science communities, as
well as EU sponsored networks, are strongly encouraged to propose and organise
sessions.

The deadline for submitting Expressions of Interest is:
Friday, 11 September 2015.

EAS policy regarding diversity and non discrimination

The European Astronomical Society (EAS) recognizes that diversity among astronomers brings diversity of ideas, methods and sensitivity, which is beneficial to astronomy. In addition, it is critical for the future of astronomy, and science in general, that young people can see evidence that scientists can succeed regardless of, e.g., gender, nationality, ethnic origin, or social origin.

Therefore, EAS encourages the reflection of the diversity observed in astronomy in its committees and actions. In particular, diversity should be sought regarding gender, geographic and ethnic groups, and no discrimination should apply on any grounds, e.g. on age, origin, gender, religion, or any other personal choices.

While the EAS does not wish to enforce strict rules, it encourages balance to be sought:

- within the members of the EAS council. The search committee is strongly encouraged to take this point into account during each council renewal. As a corollary, it is also desirable to seek a varied representation in the search committee itself.

- for the organisation of the yearly EWASS conference. This applies to the organisers during the EAS selection process of symposia, special sessions, and special meetings. As a consequence, proposers are encouraged to reach a fair representation of the astronomical community in their organising committees.

- for the speakers and poster presenters at the yearly EWASS conference. Therefore, the organisers of symposia, special sessions, and special meetings should attempt to mimic the diversity in our field when inviting speakers, selecting talks and posters. The goal should be to achieve a balance that roughly reflects that of the audience, also including the level of seniority and geographical considerations in the speaker policy. Organisers should actively seek contributions from under- represented parts of the astronomical community, if needed.

- for the distribution of travel grants to attend EWASS conferences.

- in the choice of EAS prizes nominees and award winners. EAS members are encouraged to propose nominees from minority groups in our community, so as to counter-balance biases. To foster awards to people from minorities, the EAS council members will actively propose candidates from under-represented parts of the astronomical community to balance the nominations by EAS members, if needed.
