These notes are written to help CASS staff use the CSIRO ePublish system. Please also see the separate document on publications policy at www.atnf.csiro.au/research/publications/ 1. About ePublish ePublish is a CSIRO-wide web-based system that is now in across all of CSIRO use to record and track CSIRO publications. It has been used by CASS staff since July 2010. A CSIRO publication is any publication that includes a CSIRO staff member, student or other associate of CSIRO as an author with CSIRO given as their affiliation. Publications records that are required to go into ePublish include: Journal Papers Conference papers, abstracts and posters Books or book chapters Science, client and technical reports written for external groups. ePublish policy requires that publications must be `approved', generally prior to the submission of a paper. In most cases the approvals process is straightforward and should not delay the publication of a paper. CSIRO staff are responsible for entering and updating their own records. One author (only) should take responsibility for entering the information into ePublish. 2. Getting help with ePublish Read the ePublish web pages Try things out the ePublish Approval Training Module Ask for assistance from the CASS Publications Officer, Julie Tesoriero. To provide information/requests back to the ePublish team, please contact Jessica Chapman. 3. ePublish roles ePublish defines a number of different `roles': · · · · · Corresponding Author: A CSIRO author on the paper who enters and maintains the ePublish information. Approver: A person who gives their `approval' for the paper to be submitted1. Reviewer: a CSIRO person who is asked to review a paper. Advisor: (primarily for Intellectual Property, legal, etc). Publication Officer: Provide support to authors, knows system well, provides reports to Division, transfer final versions of a paper to the `repository'.

3. How to submit a paper As above publications information must be entered in ePublish. The standard steps for submitting and approving papers in ePublish are as follows: · · · · · · · · · · · Go to the ePublish home page at http://intranet.csiro.au/epublish/index.htm Click on the link to `ePublish Approval Module' Login with your NEXUS account Select `Submit manuscript' Fill in the form ­ note that some fields are mandatory, whilst others are optional. Where possible, provide information for all authors on the paper (see section 4.1). Upload the manuscript Select an approver from the list of approvers. Once this has been completed ­ the approver receives an email notification and will go into ePublish to approve paper (or take other action). Once approved ­ submit paper (if this has not already been done) The CASS Publications Officer (Julie Tesoriero) will track papers in the system and will update status information as needed. Following the completed publication of a paper the CASS Publications Officer will transfer the paper from the ePublish Approvals Module to the ePublish Repository. The Publications Officer will ensure that any Copyright requirements are met.

4. Local advice for CASS authors For papers that include CASS staff please note that:

Technical papers should be entered into ePublish prior to the submission of a paper to an external journal. Approval should be obtained before the paper is submitted. Astronomy papers that include data from the current facilities and publications with non-CSIRO results are generally subject to external review. These papers may be entered into ePublish after the publication of the paper. If in any doubt about whether approval is required before submitting a paper to a journal or for conference proceedings then please consult with your Theme Leader. ASKAP and SKA related papers should refer to the ASKAP Publications Policy for additional advice (under development).

The following notes are intended to facilitate using ePublish in the current version. 4.1 Adding author information, long author lists and author order To search for an author, enter the surname. This should always find authors with a CSIRO affiliation and will find other authors who have already been `registered' in ePublish. If the details for an individual are not available then these are entered (once).

When adding external authors, enter information for the required fields (email, surname, first name, institution and country.) Note that if the first name cannot be found then an entry that gives just the initial will be accepted. ePublish requests that all authors on a paper are included. In practice this is difficult for papers with many authors. In this case, it is recommended that you: · · include (at least) the first five authors on the paper; and include any additional authors after the first five who have CSIRO affiliations.

For the order number, give these as a rank order for the authors entered. So if for example the authors are numbers, 1, 3, 7, 23 and 641 in the full authors list then enter the order numbers as 1, 2, 3, 4, 5. 4.2 Multiple affiliations The ePublish records can only retain one affiliation per person. In some cases an author will be listed on the publication author list with multiple affiliations. In this case just select one of these for the record. If two affiliations are given and one is for CSIRO, then select the CSIRO affiliation. This does not exclude multiple affiliations being used on the paper itself. 4.3 When a paper is externally submitted In many cases for CASS publications, the first author is not at CSIRO and inevitably some papers will be submitted to a journal by an external author. In this case, the corresponding author should still enter the paper submission information into ePublish. It can then be approved and tracked as above. 4.4 CASS-related information The following table lists some typical entries for CASS. Optional field ­ I suggest leaving this out. Select ATNF if the paper includes data taken with one of the ATNF facilities. This includes astronomy data taken with Tidbinbilla antennas. Select CDSCC for other research papers that include data taken with CDSCC facilities. Do not select for papers that only include data taken from other facilities. 020199: Astronomical & Space Sciences not elsewhere classified. 020102: Astronomical & Space Instrumentation Unclassified Most CASS papers are unclassified. However, if in any doubt please seek advice. Other options may apply.

4.5 National Facility papers without CSIRO authors Publications that include data taken with ATNF facilities that do not include any CSIRO authors will continue to be tracked using a long-standing FileMaker Pro Database. By transferring records for papers that have CSIRO authors from ePublish, the FileMaker Pro database will continue to be used for ATNFrelated performance measures.
