This is accepted and judged as necessary. This appeared clear for the last year and the AOF project requested the resources necessary to initiate some of these activities (this is why, as some board members claim, the work is being done in part). However, these activities and needed resources were not included in the initial plan of the AOF (see VLT-PLA-ESO-22000-4697, Iss.3). Thus the FTE described below must be added to the AOF FTE budget. Note that a contribution of 1 FTE has been added to the evaluation of the CRE requester. Indeed, the resources cover the activity of the specialized ESO staff but not the overview and requirements definition from the scientist. A contribution of 0.5 FTE/yr for 2 yrs is added. Version May 2009

CRE number: VLT-CRE-ESO-22000-5672 Date: 9.07.12 CRE title: Required modifications for the operation of the instrument Hawk-I with GRAAL Contractor: DMO Contract number: N/A Contract Item: Affected document(s): Attached document(s): VLT-PLA-ESO-22000-4697, Iss. 3, 12.03.10 VLT-TRE-ESO-22000-5555, Iss. 1, 2.05.12 Technical description of the change: The following changes are requested to the AOF project office (refer to VLT-TRE-ESO-220005555): 1. Observing preparation tool as described in section 15.1, (require: 0.1 FTE) 2. Instrument control panel as described in section 15.2, (0.3 FTE) 3. Design of new acquisition templates and update of actual ones if needed as per section 15.3, (0.3 FTE) 4. Site quality monitoring and display as per section 15.5, (0.3 FTE) 5. Exposure Time Calculator update as described in section 15.6, (require: 0.2 FTE) 6. The Observing Tool (OT3) shall be modified as per section 15.8 , require: 0.3 FTE) Additionally, further proposed changes are included in the document such as the NGC upgrade (Sec 15.4) and the data reduction pipeline upgrade (Sect. 15.7). Although essential to fully scientifically exploit the HAWK-I + GRAAL facility, these are not formally required to complete the AOF scope of work. They are therefore not included in this CRE. Reason for the change: The Operation of Hawk-I with the AO module GRAAL has some implications that are analyzed in the document "Observing Concepts of Hawk-I + GRAAL", VLT-TRE-ESO-22000-5555, issue 1 2/05/12. This CRE is addressed to the AOF to evaluate the implications of these changes on the projects since they were not taken into account at the start of the AOF project. Effective from (date proposed): January 2013 Impacts: None: Cost Amount (): 1.5 FTE Schedule Amount : Documentation: Other (please specify): CRE initiator name: Ralf Siebenmorgen This page to be completed by CRE Initiator Sections may be completed by Board Members to provide additional comments as required

Comment: (e-mail 8.01.13; 15:38) Generally speaking, the changes proposed and justified in VLT-TRE-ESO-22000-5555 dated 02.05.2012 are fine by me and I have no objection to them. Nevertheless, I have the two following (minor) comments: 1) Item 4 (Site quality monitoring) could overlap with the CRE Marc Sarazin is preparing regarding the general SLODAR and ASM upgrade. Does it make sense to have it in this CRE? At least, FTEs will be included in the CRE of Marc. 2) Items 2 and 3 (instrument control panel and new acquisition template) are part of the work already planed in the framework of AOF. Even if this corresponds to a real change w.r.t. what is existing so far, FTEs are already accounted for in the AOF management plan (no need for additional FTEs). Date: 8.01.13 Signature:

CCB member: H. Kuntschner Comment: (email 20.11.12; 12:14) I fully support the proposed changes since they are needed to enable science observations with Hawk-I+GRAAL. Moderate FTE savings could be achieved on items 4 and 6 since they are partly in common with MUSE+Galacsi requirements. Coordination to follow. Date: 20.11.12 Signature:

I recommend accepting the CRE. A clarification of the FTE request should be performed. The change is necessary to operate GRAAL in a common framework with the other AOF instruments and with the new Paranal tools (OT3). As for FTEs, the numbers provided do not reflect accurately the impact on the project: some tasks were already part of the GRAAL project, such as 1, 2 and 3 partially. Date: 8.01.13 Signature:
