What Other Information Do I Need Before Leaving for Tucson?

Should I rent a car when I arrive at the Tucson airport?
There is good shuttle service between Tucson International Airport and the hotel, which costs $26 each way. Nearly everything concerning the meeting will be at the hotel—shuttling service will be provided for exceptions to this. You will need a car if you intend to do significant sightseeing in and around Tucson.

I’d like to be a volunteer for this meeting. Whom do I contact?
This is an excellent opportunity for undergrads, grads, postdocs, and local amateur astronomers to participate in our meetings: to supervise session audio visuals, help at registration, usher at events, and perform other important tasks.  Don't miss the chance to meet and mingle with your peers, and get up to date on the newest ideas in communicating science. To sign up to be a volunteer, please e-mail your name, email address, telephone numbers, and days of availability to: 2012meeting {at} astrosociety.org

I have missed the deadline for submitting an abstract for the meeting. Can I still contribute to the meeting in some meaningful way?
The conference will have many sessions where audience participation will be encouraged. It will feature hands-on workshops where you will be able to learn new techniques and become familiar with new materials that should be of benefit in your own education and outreach work.

When should I be arriving in Tucson and when should I plan to leave?
It depends on what you will be doing.

If you’re participating in a field trip before or after the conference proper, you will want to arrive in plenty of time to join your tour, or to schedule departure after your tour gets back—allow for good margins in either or both cases.

If you’re attending the weekend Galileo Teacher Training Program  (GTTP), the workshop will begin at 8:30 am on Saturday morning and end at approximately 5 pm on Sunday afternoon.  You will want to arrive Friday evening and depart Sunday evening or Monday morning (unless you’re staying for the conference as well).

Sunday evening, August 5, conference registration will open and the Welcome Reception will start approximately 6:00 pm.  Arrival midday Sunday should get you here on time. The meeting itself will end with a wrap-up discussion and happy hour to be followed by special public screening of Saving Hubble on Wednesday evening. So that you do not miss afternoon sessions to get to the airport on time, you may want to stay over Wednesday evening and depart on Thursday morning.

When and Where is Registration for the Meeting Going to Be?
Registration will take place Saturday morning, starting at 8:00 a.m. at the DoubleTree Tucson-Reid Park for those coming to the Galileo Teacher Training Program Workshop. Regular meeting registration begins Sunday afternoon at the Conference Center from 4:00 pm to 6:00 pm, and Monday morning starting at 7:30 am.

What Other Information Do I Need Before Leaving for Tucson?

1. If you need to ship personal materials in advance (such as handouts), the best place to send them is to your hotel room.

2. Everyone who participates in the meeting must register and must wear the badge given out at registration. Local students are given a chance to volunteer at the meeting to help defray their registration costs.

3. If colleagues are interested in attending at the last minute, we will accept registration at the door for all sessions and the weekend workshop provided there is still room.
