1. Purpose
The purpose of this policy is to define the way in which electronic
communications are managed in Armagh Credit Union, (the credit union) and
the rights and responsibilities of all employees, officers and volunteers.


2. Scope
The policy applies to all employees, officers and volunteers of the credit
union. It covers internet, email usage, voice mail and phone calls, the
rules regarding information technology (IT) systems and the credit union
right to monitor such activity.


3. Policy
Armagh Credit Union's policy regarding computer access to the Internet,
electronic mail ("e-mail") and voicemail messages sent or received by the
credit union employees, officers and volunteers using the credit union's
equipment or systems is set forth below.

This policy applies to all credit union provided computers, e-mail and
other systems, including both internal communications (between or among
credit union users), as well as external messages using proprietary systems
or the Internet. Every employee, officer and volunteer has a
responsibility to maintain the Armagh's Credit Union's image, to use these
electronic resources in a productive manner and to avoid placing the credit
union at risk for legal liability based on their use. Use of Armagh Credit
Union provided systems in violation of this policy may result in
disciplinary action, up to and including termination of employment and
officership.


4. Management's Right to Access Information
Armagh Credit Union's computer systems and e-mail systems are business
tools for business communications. The credit union owns the systems and
all accounts. Accordingly, there is no guarantee of privacy with data,
messages, or other information stored on the computers such as e-mail.
Armagh Credit Union expects each person to use individually chosen
passwords to access a computer or e-mail systems, thus protecting messages
from intrusions by third parties.

The Board, however, may access the contents of computer systems, including
e-mail communications, within its discretion. The credit union may make
periodic unannounced inspections of the computer system provided to you,
including but not limited to, any e-mail or other data, messages, or other
information stored on the computer systems, so employees, officers and
volunteers should treat their computer systems and e-mail as they would
other shared filing systems.

All information, including e-mail on the credit union's equipment or media
are discoverable in litigation in the same manner as paper files, subject
only to specific exceptions, such as the solicitor-client privilege. As a
result, the contents of information such as e-mail may be disclosed within
the credit union without your permission. Therefore, you should not assume
that such messages are confidential or private. Back-up copies of e-mail
may be maintained and referenced for business, legal, or other reasons.
"Deleting" e-mail messages at the desktop does NOT automatically make
messages inaccessible.


5. Personal Use of Credit Union Computers and E-Mail
Because Armagh Credit Union provides computers and e-mail, and other
systems to assist you in the performance of your job, you should use them
for official credit union business. Some incidental personal use of the
credit union's computers and access to the Internet is allowed. Incidental
and occasional personal use of e-mail/internet is also permitted at the
credit union's discretion, but these messages will be treated as discussed
above. Armagh Credit Union reserves the right to access and disclose as
necessary all data, information, and messages stored in or sent over its
computer, e-mail and other systems, without regard to content.

Because your personal e-mail messages may be accessed by Board without
prior notice, and because e-mail messages are often retained for long
periods and forwarded to unintended recipients, you should not use e-mail
to transmit any messages that you would not want read or heard by a third
party.

All users should communicate via e-mail as they would in a public meeting.
E-mail and voicemail users should exercise good judgement and common sense
when creating and distributing messages. For example, you should not use
the credit union's e-mail for gossip, including personal information about
yourself or others, for forwarding messages under circumstances likely to
embarrass the sender or recipient, or for emotional responses to business
correspondence or work situations. Moreover, the dissemination of credit
union e-mail messages to non-business recipients outside of the credit
union is strictly prohibited.


6. Prohibited Access to the Internet and Content of E-Mail Communications
No employee, officer or volunteer should ever transmit any information on
the Internet or any of the credit union's system that could be considered
defamatory. In no event is any the credit union's computer to be used in
any way to access or download material from any site on the Internet where
the principal content of the material is sexually oriented, or where
employees, officers and volunteers have reason to believe the information
being accessed may be defamatory or irresponsible.

Rules of legal and ethical conduct and non-discriminatory behaviour apply
to e-mail. Use of the credit union's computers, or other systems in any
way, which is sexually offensive or harassing, is expressly prohibited. All
users are strictly prohibited from sending e-mail messages of a harassing,
intimidating, offensive or discriminatory nature. Examples of forbidden
communications include pornographic images, sexually-explicit messages,
cartoons or jokes; unwelcome propositions; ethnic or racial slurs; hate
mail; or any other harassment or disparagement of others based on their
gender, race, sexual orientation, age, national origin or religious or
political beliefs. Use of the credit union's computers, e-mail, or other
systems for matters relating to guns or illegal activities, such as illegal
drugs, is also strictly forbidden.

Employees, officers and volunteers using the credit union's computers must
respect the intellectual property rights and confidential information of
both the credit union and other persons. Employees are prohibited by non-
disclosure agreements from disclosing any confidential or property
information regarding the credit union to any third party. Officers and
volunteers are prohibited by the signing of the Secrecy Pledge from
disclosing any confidential or property information regarding the credit
union. Please be aware that this obligation encompasses any e-mail sent to
third parties. In addition, employees, officers or volunteers may not
republish or distribute any copyrighted, pirated or proprietary materials
of another without the owner's permission or as otherwise allowed by law,
and are prohibited from accessing any third party computer system without
the express authorization from the owner. Be particularly cautious about
material that appears to be freely available over the Internet, because
such availability may not mean that the material is in the public domain,
and therefore free to any person to use.

If you receive any offensive, unpleasant, harassing or intimidator messages
via the credit union's email, you are requested to inform the Manager or
the Staff Liaison Officer.


7. Summary

7.1 Acceptable Use

The use of the computing/network resources for personal purposes is
permissible provided such use:

. does not breach the rules on acceptable and unacceptable use;

. is not detrimental to job responsibilities;

. is not excessive; and

. does not demean the reputation of the Armagh Credit Union;



7.2 Unacceptable Use

Examples of unacceptable use include the following:

. The creation or transmission of any offensive, obscene or indecent
images, data or other material, or any data capable of being resolved into
obscene or indecent images or material;

. The creation or distribution of any computer virus, worm, trojan or other
software which might disrupt or degrade computer systems or networks;

. The creation or transmission of defamatory material;

. The transmission of material which infringes the copyright of another
person;

. The transmission of unsolicited commercial or advertising material;

. Deliberate unauthorised access to facilities or services accessible via
the internet; and

. Deliberate activities with any of the following characteristics:
wasting staff effort or network resources;
corrupting or destroying other users' data;
violating the privacy of others;
disrupting the work of others;
using the network in such a way that denies service to other users (for
example, deliberate or reckless overloading of access links or of switching
equipment);
continuing to use software or hardware withdrawn from use because it is
causing disruption to the network;
failing to follow the housekeeping practices outlined in this policy; and
excessive personal use resulting in interference with the user's duties or
studies

This policy will be reviewed at least annually.
